Project description
Particip GmbH is an international project management and consulting company with a focus on international development cooperation. We work for various clients such as the European Union, World Bank, and national development agencies, such as GIZ and KfW. We coordinate interdisciplinary multinational teams for short-term and long-term assignments in developing, transition and industrialised countries and support them with methodological and technical know-how.
ESPRE provides support to increase the Commission’s capacity to strengthen resilience and better link humanitarian, development and peace actions (HDP nexus approach) in a conflict-sensitive way in fragile and conflict-affected countries, and in partner countries affected by a sudden shock.
Job description
We’re currently seeking administrative support in Brussels for the international team of experts and managers working on the “Expert Support Platform for Resilience (Support measures) - ESPRE” DG INTPA G5.
Your tasks:
- General office management and assistance to the EU Facility “ESPRE”
- Supporting communication with experts, partners and clients in English and French
- Supporting the Facility’s experts in their daily work, including data research, extracting and compiling relevant information, creating and/or updating databases
- Formatting, editing, and proofreading documents and reports in both English and French
- Formatting, editing and verifying the accuracy of CVs in both English and French
- Organising physical, online and hybrid meetings, and drafting meetings minutes
- Supporting travel arrangements and other logistics
- Preparing, reviewing and processing invoices
- Preparing, compiling and/or reviewing supporting administrative documents
- Managing the online file sharing system and updating the management information system
- Other ad-hoc tasks as required by the project team and Particip managers.
Requirements
Your profile
- Very good oral and written English skills (C2 in the Common European Framework) and French skills are required. Knowledge of German and Spanish would be an asset.
- Relevant professional qualifications (academic credentials and/or professional experience as a project assistant) ideally with accounting qualifications.
- You are proactive.
- You are able to work independently and with attention to detail, reminding the team of deadlines and next steps.
- You enjoy working in a team and have good intercultural communication skills.
- Very good skills in MS Word and Excel are compulsory (maintaining Excel databases, financial monitoring in Excel, comfortable with the Word functions required to draft and format lengthy reports and publications).
- Professional experience working on the financial / administrative aspects of projects is required.
- Experience working on multiple projects at the same time would be an asset.
- Experience with EU contract management would be a strong asset
- Experience or strong interest for projects related to conflict prevention, peacebuilding and resilience would be an asset
- You are flexible, service-oriented, reliable, and responsible.
